The Opportunity:A full time, permanent role exists within the Wards Group based in Kingaroy for an energetic problem solver with an outstanding work ethic to oversee and schedule our allocation of jobs to appropriate Trade staff or Contractors and ensure timely and efficient completion of all services and projects for Clients. Wards Group is a family-owned business operating in the South Burnett for over 40 years with a team of over 20 including electricians and carpenters.Scope of the Role:Duties will vary, but the successful applicant will be responsible for the following:Create and co-ordinate incoming quotes, jobs and requests for all services offered through Wards GroupAllocate jobs and liaise with Trades staff, Sub-contractors and Clients to ensure completion of the work orders in a timely, accurate and cost-effective mannerMaintain budget requirements for all jobsAccurately update the Client and Contractor databases and ensure currency of all information and notes Co-ordinate and maintain workflow reports via Client portalsEffectively communicate job progress reports and relevant information to ClientsEnsure all job cards and documentation have been accurately completed by Trades staff, Sub-contractors, and ClientsRespond to and co-ordinate all emergency jobs within the allocated timeframesEnter timesheets into SimPro and reconcile data with the completed job cardsPrepare all weekly / monthly reportsAudit, report and action pending and progress jobs to ensure timely completion Co-ordinate and maintain the on-call rosterAssist with other administration duties and provide support to the administration teamComply with all Company policies and procedures including a strong focus on maintaining a safe workplaceThe Successful Applicant:Applicants will be able to demonstrate:A strong background in performing Office Administration rolesExperience in a role that equally required high levels of flexibility and adaptability to changing demandsA proven strong work ethic with reliabilityExcellent planning, organising and time management skillsStrong customer service skillsExcellent communication and phone skills Experience in providing a high level of team supportProven skills in liaising well with Clients, Trades people and ContractorsStrong computer, keyboard and data entry skillsThe ability to self-manage and perform autonomouslyA proven commitment to high standards of workplace health and safety practicesA current driver licenceAlthough not essential, preference will be shown to applicants who are also able to demonstrate:Formal qualifications in Administration, Business or Project ManagementPrevious experience in an Electrical or Trade Services IndustryPrevious experience in a similar roleExperience in the use of SimPro softwareThe Hours:Normal hours will include a 38 hour week between 8.00 AM and 4.30 PM Monday to Friday plus overtime as required. The Pay:An above award pay rate will be negotiated depending upon the experience and skills available.How to Apply:Applications with a current resume should be submitted directly from this website.Enquiries:Enquiries may be directed to Employment Matters on 0429 000 139. 55000 AUD Kingaroy 4610
